The Northern Market — Trader Terms & Conditions
1. Trader Approval
All traders must complete the Become a Trader application and receive written confirmation before booking any events. Approval is based on product quality, suitability, and maintaining a balanced mix of stalls. We reserve the right to decline applications without explanation. We also reserve the right to refund and cancel any bookings made without explanation.
2. Required Documents
Before trading with us, you must provide:
- Proof of £5 million Public Liability Insurance (valid on the date of the event)
- A completed Risk Assessment relevant to your stall and products
- If selling food or drink: a valid Food Hygiene Certificate and confirmation of your local authority registration
Documents must be kept up to date and provided again upon request. Failure to supply required documents will result in removal from the event without refund.
3. Booking & Payment
- Once approved, you will receive a booking link or invoice to confirm you spot.
- Some events will be passcode protected to ensure a balanced stall mix.
- Payment is required in advance to confirm your booking.
- Event pitches are non-transferable without prior written consent from The Northern Market.
4. Cancellations & Refunds
- Trader cancellations: Notify us by 4pm on the Monday before your booked event to receive a credit (valid for 6 months). Late cancellations and no shows will forfeit the pitch fee.
- Organiser cancellations: If we cancel an event due to extreme weather or safety concerns, 75% of the pitch fee will be refunded or credited. 25% of the fee is non-refundable.
- We cannot refund for poor sales, bad weather (unless the event is cancelled), or unforeseen personal circumstances.
5. Stall Set-Up & Equipment
- Standard outdoor pitch size: 3m x 3m unless otherwise stated.
- Traders must bring their own gazebo, tables, chairs, and display equipment unless prior agreement is made.
- Gazebo weights (minimum 10kg per leg) are mandatory for outdoor events.
- All equipment must be in good, safe condition and set up securely.
- We reserve the right to refuse trading if your set-up is unsafe or unsuitable.
6. Power & Generators
- Gas power is preferable and a certificate must be held.
- Generators must be quiet, well maintained, and pre approved by us before the event.
7. Trading Hours
- Traders must be fully set up and ready to trade 30 minutes before the market opens.
- Stalls must remain open until the advertised closing time, even if sold out.
- Early pack downs disrupt the market atmosphere and may affect future bookings.
- Traders must set up in their allocated pitch. A layout will be emailed out, no deviation from this layout will be allowed. If traders do set up in incorrect positions, they will be asked to move.
8. Food & Drink Traders
- You must comply with all food safety regulations.
- Food Stalls to be registered with Environmental Health and have requested an inspection from an environmental health officer.
- It is best practise to display your hygiene rating on your stall.
- All open food items must be covered, and sneeze guards are encouraged.
- All Traders to have adequate hand washing facilities on their stand, a flask of hot and cold water, hand soap and a washing bowl as minimum.
- All food should be handled wearing plastic gloves and tongs should be used.
- All food waste must be disposed of by traders and must not be put in onsite bins. Trader waste must be taken home.
- Your local council can advise you on packaging requirements, weights and measures and what you should display regarding allergies.
- It is your responsibility to ensure that all insurance and paperwork is kept up to date and should be available on your stall in case of spot checks.
- Cool boxes need to be checked for correct temperatures through market day and prior to serving.
- Both Traders and music performers need to ensure their equipment has been PAT tested in the last 12 months and is suitable for purpose.
- Street Food Traders – are asked to run off gas unless otherwise agreed and must have gas safety certificates available at all times. All electrical leads must be within the confounds of your pitch space or suitably covered with appropriate cable coverings.
Alcohol Traders: You must hold a personal license to sell alcohol and all sales of alcohol must be in accordance with Challenge 25 guidelines.
9. Behaviour & Professionalism
- All traders are expected to be friendly, professional, and respectful to customers, fellow traders, and event staff.
- Aggressive, abusive, or disruptive behaviour will not be tolerated and may result in removal without refund.
- Smoking is not allowed next to or in front of your stall area. If you need to smoke we respectfully ask that you leave the market area and find an appropriate smoking area.
10. Liability
- You are responsible for ensuring you have appropriate insurance, documentation and any other certification that you may need to legally trade.
- The Trader acknowledges and agrees that The Northern Market is not liable for any claims arising from:
Stock or property damage caused at any of our events.
Theft of the goods or other property of the Traders.
Injury, loss or damage suffered at Independent Street Events.
Any loss of earnings to the Trader if they are asked to leave our events or lack of future invitations.
Damage to or theft of the property of any persons at the events.
11. Photography & Promotion
- By trading at our events, you consent to photographs and video of your stall and products being used for marketing purposes.
- If you wish to opt out, please let us know in writing before the event.
12. GDPR
The Northern Market will follow all GDPR protocol regarding personal and business data.
Through our social media channels business names and images in the public domain will be shared as a way of marketing our events and your business.
Any data you provide to us will stay within our system until you request its removal.
13. Market Presentation & Aesthetics
The Northen Market reserves the right to request changes to any stall setup, display, or presentation to ensure the overall aesthetic standards of the market are upheld. The image and feel of The Northern Market is integral to its identity and is carefully curated by The Northern Market Team.
If any stall display is deemed not to align with the desired aesthetic, traders will be required to amend their setup accordingly. All decisions regarding stall aesthetics and presentation are at the discretion of The Northern Market and are final.
14. Compliance
It is the traders responsibility to ensure that their products confirm to the legislation for customer sales in the UK. This includes allergies for food and drinks, CLP labels for soaps, candles and home fragrances, and any pet foods and treats. Failure to label items correctly may mean you are unable to trade with these items.
The Northern Market does not allow the sale of any real fur products and any Trader found selling those items will be asked to take them off sale.
All goods must be marked and priced according to legal requirements. Contact your local trading standards office for more details.
15. Agreement
By booking an event with The Northern Market, you agree to abide by these Terms & Conditions. Failure to comply may result in removal from the event and exclusion from future bookings.
